Volunteer Policy and Liability Waiver

[Warriors for Wellness]

 

1. Purpose

The purpose of this Volunteer Policy is to establish clear guidelines for individuals who donate their time and talents to support the mission of [Warriors for Wellness]. Volunteers play a vital role in helping us deliver wellness services, educational programs, fundraising initiatives, and community partnerships that benefit underserved communities.

This policy outlines expectations, responsibilities, and standards to ensure a safe, respectful, and productive environment for all participants.

 

2. Scope

This policy applies to all volunteers who support [Warriors for Wellness], including individuals who assist with:

  • Wellness programs and community education
     

  • Community outreach and engagement
     

  • Fundraising events
     

  • Sales of apparel or other products supporting the organization
     

  • Supporting events hosted by partner organizations
     

  • Administrative or operational tasks
     

Volunteers may serve on a one-time, occasional, or ongoing basis.

 

3. Definition of a Volunteer

A volunteer is an individual who freely offers their time, labor, or expertise without expectation of financial compensation to support the mission and activities of [Warriors for Wellness].

Volunteers are not employees and are not entitled to wages, benefits, or other compensation.

 

4. Volunteer Eligibility

To volunteer with [Warriors for Wellness], individuals must:

  • Support the mission and values of the organization
     

  • Complete any required volunteer registration or application
     

  • Follow organizational policies and guidelines
     

  • Be at least [16]  years old unless accompanied by a parent/guardian or participating in an approved youth program
     

Some volunteer roles may require:

  • Background checks
     

  • Additional training
     

  • Specific qualifications or certifications

 

5. Volunteer Responsibilities

Volunteers are expected to:

  • Represent [Warriors for Wellness] in a professional and respectful manner. 

    • Volunteers must accurately represent the mission and services of Warriors for Wellness when interacting with community members, partners, or the public. Volunteers should clearly communicate that Warriors for Wellness provides wellness education and support services and does not provide healthcare or medical care. Volunteers should not present themselves as medical professionals or offer medical advice while representing the organization.

    • Volunteers are encouraged to wear official [Warriors for Wellness] apparel when participating in volunteer activities. If official apparel is not available, volunteers should wear casual professional clothing that is neat and appropriate for the activity and should avoid clothing with visible wording, slogans, or graphics.
       

  • Treat all individuals with dignity, respect, and cultural sensitivity
     

  • Follow instructions provided by staff or designated volunteer leaders
     

  • Perform assigned duties safely and responsibly
     

  • Protect confidential information
     

  • Use organizational property and resources appropriately
     

  • Notify the organization as soon as possible if unable to attend a scheduled volunteer commitment
     

 

6. Code of Conduct

Volunteers must adhere to the following standards:

  • Maintain respectful and inclusive behavior toward community members, staff, and other volunteers
     

  • Refrain from harassment, discrimination, or inappropriate conduct
     

  • Avoid conflicts of interest
     

  • Not engage in illegal activities while volunteering
     

  • Refrain from using drugs or alcohol while volunteering
     

Violation of these standards may result in dismissal from volunteer service.

 

7. Health, Safety, and Wellness Activities

Because [Warriors for Wellness] provides wellness and education services:

  • Volunteers must follow all health and safety guidelines during programming. Volunteers must refrain from smoking and vaping during volunteer hours.
     

  • Volunteers may assist with activities but should not provide medical, therapeutic, or professional health advice unless properly licensed and authorized by the organization.
     

  • Any injury, accident, or safety concern must be reported immediately to staff.
     

 

8. Fundraising and Product Sales

Volunteers may assist with fundraising activities including:

  • Selling apparel or merchandise
     

  • Assisting at fundraising events or in the construction of merchandise being sold.
     

  • Promoting fundraising campaigns
     

All funds collected must be handled according to organizational procedures and turned in promptly to designated staff.

Volunteers may not represent themselves as authorized financial agents beyond their assigned roles.

 

9. Event Support for Partner or Other Community Organizations

At times, volunteers may assist at events hosted by partner organizations to support community collaboration and fundraising.

During these activities, volunteers are expected to:

  • Follow the policies of both [Warriors for Wellness] and the host organization
     

  • Represent the nonprofit professionally
     

  • Work within the scope of their assigned role
     

 

10. Confidentiality

Volunteers may have access to sensitive information about community members, donors, or organizational operations.

Volunteers must:

  • Keep confidential information private
     

  • Not share personal or organizational information without authorization

11. Use of Name, Logo, and Media

Volunteers may not use the organization's name, logo, or branding for personal purposes without permission.

Photos or videos taken during volunteer activities may be used by [Warriors for Wellness] for promotional or educational purposes unless a volunteer opts out in writing.

 

12. Reimbursement of Expenses

Volunteers are generally responsible for their own expenses unless pre-approved by the organization. Pre-approved expenses may be reimbursed with proper documentation.

 

13. Dismissal or Resignation

[Warriors for Wellness] reserves the right to end a volunteer relationship at any time if policies are not followed or if the relationship is no longer beneficial to the organization.

Volunteers may discontinue service at any time but are encouraged to notify the organization in advance.

14. Waiver of Liability and Assumption of Risk

By volunteering with [Warriors for Wellness], volunteers acknowledge that participation in volunteer activities may involve certain inherent risks. Volunteers agree to assume full responsibility for any risks of injury, illness, or damages that may occur while participating in volunteer activities or events.

Photo and Media Release

Volunteers grant Warriors for Wellness permission to photograph, video record, or otherwise capture their image or likeness during volunteer activities. These materials may be used for promotional, educational, or informational purposes, including on websites, social media, marketing materials, and reports, without compensation. Volunteers who prefer not to be photographed must notify the organization in writing.

 

Emergency Medical Consent

In the event of an injury or medical emergency during volunteer activities, volunteers authorize Warriors for Wellness to obtain necessary medical treatment on their behalf if they are unable to do so. Volunteers understand that they are responsible for any medical expenses incurred as a result of such treatment.

 

Indemnification

Volunteers agree to indemnify and hold harmless Warriors for Wellness, its directors, officers, employees, partners, and affiliates from any claims, damages, losses, liabilities, or expenses arising from the volunteer’s actions, omissions, or failure to comply with organizational policies while participating in volunteer activities.

Volunteers agree to follow all safety instructions and guidelines provided by the organization.

 

Acknowledgment of Non-Employee Status

Volunteers acknowledge that they are providing services voluntarily and are not employees, contractors, or agents of Warriors for Wellness. Volunteers are not entitled to wages, benefits, insurance coverage, workers’ compensation, or other employment-related benefits.
